1. Information we collect

The MakiPoint application (“the Application”), operated by Makital LLC, collects the following types of information:

Account information: full name, email, phone, optional profile photo, role (owner or contractor).
Project data: clients, worksites, services, staff assignments, photographs uploaded by authorized users.
Time and payroll data: contractor punch in/out records, hours worked, hourly rates, payments issued.
Financial data (QuickBooks Online): through the OAuth integration with QuickBooks, we sync customers, vendors, invoices, bills, categorized expenses, and bank balances. We only access the QuickBooks company that the authorized user explicitly connects.
Technical data: IP address, browser type, approximate geographic location when a contractor enables GPS during punch in/out.

2. How we use the information

We use the data exclusively for the operational purposes of the business:

Manage construction and restoration projects.
Calculate weekly contractor payroll.
Generate invoices for clients and record payments.
Display financial dashboards synced with QuickBooks.
AI assistant (“Natasha”) that helps the owner with administrative tasks.

We do not sell, rent or share personal data with third parties for marketing purposes.

3. Sharing with third parties

We share strictly necessary information with the following service providers:

Vercel (hosting): server infrastructure in US East.
Neon (PostgreSQL): encrypted database.
QuickBooks Online (Intuit): two-way financial sync via OAuth 2.0.
Google Cloud Text-to-Speech / Anthropic / Google Gemini: voice and AI processing for Natasha.
ElevenLabs: alternative voice synthesis.
Gmail API: sending invoices by email via authorized account.
Meta WhatsApp Business / Twilio: sending notifications when enabled.

4. Data security

We implement reasonable technical and organizational measures:

QuickBooks OAuth tokens encrypted with AES-256-GCM before storage.
Contractor social security numbers encrypted before storage.
Mandatory HTTPS connections.
Password authentication using hashed (bcrypt) passwords.
Role-based access control (RBAC): contractors only see their own data; the owner has full access.

5. Data retention

We retain data while the operational relationship is active, plus the period required by applicable Florida and US tax and labor laws (typically 7 years for financial and payroll records).

6. User rights

Authorized users may:

Access their personal data from the “Account” section.
Request correction of inaccurate information.
Request deletion of their account (subject to legal retention obligations).
Disconnect the QuickBooks integration at any time from “Account”.

7. Cookies

The Application uses strictly necessary cookies for authentication (session) and to save your theme preference (light/dark/auto). We do not use advertising tracking cookies.

8. Changes to this policy

This policy may be updated periodically. The “Last updated” date indicates the current version. Material changes will be notified to users by email or via in-app notice.
